What is a China sourcing agent, and what does one actually do?

A China sourcing agent is a third-party procurement partner that acts as your buyer inside China. Rather than selling you goods, the agent works on your behalf: finding and vetting suppliers, negotiating on your specification, placing and paying for orders, inspecting the goods, and arranging export. Sourcing service providers help businesses importing from overseas mainly by replacing distance — someone is in the same country, time zone and language as the factory. 

What services do sourcing agents typically provide — and what they usually don’t?

Most agents typically provide the same core set: supplier search, supplier verification, price and MOQ negotiation, sample handling, production follow-up, pre-shipment inspection, warehouse consolidation and export. What is usually not included, and worth asking about before you sign anything, is product design, certification testing itself (an agent coordinates a lab, it does not issue a certificate), customs clearance in your own country, and any guarantee about market demand. Product acquisition stops at the port; what happens after it is your freight and your customs broker unless you have agreed otherwise.

How do sourcing agents charge? The three pricing models

There are three pricing models in this industry and they are not directly comparable. Markup inside the unit price: the agent quotes one delivered price with their cost built in — simplest to read, and you judge it on the total. Commission: a percentage of goods value quoted separately from the factory price. Flat fee: a fixed amount per order or per month regardless of value, which favours large orders and punishes small ones. Two quotes only become comparable once you know which model each one uses and what is excluded from both.

Does Alibaba have sourcing agents?

Not in the way buyers usually mean. Alibaba once ran its own agent-matching programmes — a Sourcing Agent Service and a Purchasing Agent Service — and as of September 2026 both of those pages redirect to the Alibaba.com homepage. What the platform offers today is RFQ, where you post a buying request and suppliers quote you, and Accio, the AI sourcing agent Alibaba now promotes on its own homepage. Both are useful for finding and comparing suppliers. Neither walks into a factory, checks a business licence against a bank beneficiary, opens a carton before the balance is paid, or consolidates five suppliers into one shipment. That work is still done by people, and you hire them separately.

How do agents handle quality control for imported goods?

Quality control on imported goods happens in three layers, and they are not interchangeable. The sample layer fixes the standard in writing before production. The factory layer is third-party inspection during or at the end of production, usually on an AQL sampling plan — worth paying for on larger runs. The warehouse layer is what we do on arrival: count against the order, check each unit, photograph what came, and report shortages and defects in writing while the balance is unpaid. Sampling finds systemic faults; unit checking finds the ones that scatter. Neither catches what was never specified, which is why the sample layer comes first.

Alibaba Sourcing Agent FAQ

Yes, and on plenty of orders you should. One supplier, a standard product, roughly $2,000 or less, paid through Trade Assurance with the specification written into the order — that is a job you can run yourself, and a fee on top makes it worse, not safer. It changes when several suppliers have to arrive as one shipment, when a bulk run has to repeat an approved sample, or when the order is large enough that a bad batch hurts.

No. Suppliers sell to individuals and to companies alike, and a US citizen can buy without registering anything. A company usually becomes worth having for reasons on your own side of the border: import paperwork is simpler, some destinations expect an importer of record, and payment terms are easier to arrange. We work with sole traders and limited companies on the same terms.

Yes — it is the most common Alibaba job we take. You keep the supplier and the price you agreed. We verify the company, receive the goods at our warehouse, check every unit, sort and repack, and export it as one shipment. That is the 5% of goods value service, minimum $100, with freight quoted separately.

You pay us by T/T, Payoneer or PayPal, usually a 30% deposit with the balance before shipping. We pay each supplier in RMB from our own account, which is why an order spread over five storefronts still costs you one transfer. We do not pay a beneficiary whose name does not match the company we verified.

Where it fits the order, yes — it is real protection and it costs you nothing. What we do not do is treat it as the plan. Trade Assurance is written around the order terms, so our work is to get the specification into those terms before the deposit, and to check the goods in China while the balance is still unpaid.

That conversation happens in China, not after landing. We photograph and document the problem on arrival and take it back to the supplier while the balance is unpaid and we still have leverage. Then one choice comes to you: have it remade, have it refunded, or take it at a renegotiated price. Once a container has cleared customs on your side, all three of those options get harder and more expensive.
